🎙️ We’re Growing the iRonick Media Team and Looking for a Virtual Assistant ✨

As iRonick Media continues to grow, so does the need for behind-the-scenes support that keeps podcast production running smoothly and consistently. We are currently looking for a Virtual Assistant to support our podcasting production business and help manage the flow of work across multiple shows and clients.
This role focuses on managing podcast episodes from submission to publication. The Virtual Assistant will oversee client episode deliveries, track them through the production process, and ensure episodes are uploaded and scheduled correctly with client approval and on time on Buzzsprout and YouTube. This includes preparing and publishing show notes so each episode is fully ready for listeners and viewers.
Clear communication is a key part of this role. The Virtual Assistant will regularly communicate with podcast clients, audio and video editors, and Marc Ronick, the owner of iRonick Media. This position helps keep everyone aligned, informed, and moving forward without confusion or bottlenecks.
Podcast editing is not required for this role. No audio or video editing responsibilities are included. This position is centered on organization, coordination, follow-through, and communication. Experience working with podcasts is strongly preferred, and familiarity with AI tools is a plus, especially for workflow support and content preparation.
In addition to production support, this Virtual Assistant will also be responsible for creating and sending this weekly newsletter. Attention to detail, comfort with written communication, and consistency are important parts of the role.

đź§ Your Podcast Doesn’t Need More Motivation. It Needs a Workflow ✍️🎙️

Most indie podcasters do not actually have a workflow.
They have habits.
Habits are enough when a show is small and the stakes feel low. You can remember what to do next. You can squeeze editing in wherever it fits. You can fix problems as they pop up.
That approach starts to crack the moment the show grows. More episodes, more formats, more platforms, more expectations. Suddenly things feel heavier, even though the passion is still there.
This exact tension surfaced during a recent Podcasting Morning Chat, and it was echoed by podcasters at every stage of experience
A few patterns kept coming up again and again:
• Many podcasters are winging it without realizing they are winging it
• Frustration shows up before clarity, often without a clear cause
• Tool hopping starts when the process is invisible
• Burnout often comes from not knowing where the time actually goes
What stood out most was that none of these issues were framed as motivation problems. Everyone in the room cared deeply about their work. The friction came from operating without a visible system.
One simple shift was emphasized repeatedly.
Write down what you already do. Step by step.
Not to optimize. Not to fix. Just to see it.
Planning an episode. Recording. Editing. Publishing. Promoting. Following up. Even the small in between tasks you normally do on autopilot. When everything lives in your head, it is impossible to see where the strain is coming from. When it is on paper, patterns start to emerge.
Several people shared that once they documented their process, they noticed time leakage they had never accounted for. Others realized they were switching tools mid task without intention. Some discovered they were doing things out of order, creating unnecessary rework later.
The conversation also highlighted why burnout sneaks up so quietly. Without a documented workflow, there is no clear boundary between effort and progress. Time disappears. Energy drains. The work starts to feel endless even when results are happening.
Burnout is often a systems issue wearing a motivation mask.
When your process is visible, decisions become easier. You know when a tool is helping or just adding noise. You can tell whether a new platform fits your current stage or complicates it. You stop blaming yourself for feeling overwhelmed and start adjusting the structure instead.
